AI Workflows

Workflows we design

How we'd automate the work your team repeats every week.

These show how we design workflows. They are not client case studies.

This page shows workflows of the kind Beta Gen Studios designs for small and growing businesses: what starts each one, every step it takes, which steps use AI, and where a person stays in charge. Use them to spot a task in your own business that could work the same way, then talk to us about a pilot.

How each workflow runs

Every example, step by step: what starts it, what runs on its own and where a person decides.

01
Lead intake

Lead intake and routing

Read the workflow

New inquiries from every channel captured once, sorted and assigned, with a draft first reply for a person to send.

Who it's for

  • A business that gets inquiries through a website form, email and one or more lead marketplaces or directories.
  • A team where inquiries sometimes sit in an inbox because nobody is sure whose they are.

The problem

Inquiries arrive in different places and formats. Someone has to copy each one into the CRM, work out what the person needs and pass it on. Busy weeks mean slow replies and duplicates.

Starts when

A new inquiry arrives from a form, an email or a lead notification.

Steps

  1. 01Trigger

    An inquiry arrives

    On any connected channel.

  2. 02Automation

    Collect and de-duplicate

Collect the message and contact fields; check the CRM for an existing contact.

  3. 03AI

    Classify and summarize

Note the service asked about, the urgency and any missing details, in a short summary.

  4. 04Automation

    Log and assign

Create or update the CRM record and assign it using rules you set.

  5. 05AI

    Draft a first reply

Answer the obvious questions and ask for the missing details.

  6. 06Person

    Edit and send

The assigned person edits and sends the reply.

  7. 07System

    Log the run

Alert the team if an inquiry is still unassigned after a set time.

Tools

  • Website forms
  • Email
  • Lead marketplace notifications
  • CRM
  • Workflow automation platform
  • AI model provider

Where people stay in charge

  • A person sends every first reply; the AI only drafts.
  • Routing rules are set and changed by the business, not by the AI.

Data and privacy

  • Only the inquiry fields needed for routing are passed to the AI step.
  • Contact data stays in the CRM; logs record run status, not message contents.
  • Marketing consent is never inferred from an inquiry.

Designed to

  • Make sure every inquiry is logged once and has an owner.
  • Shorten the time between an inquiry and a first human reply.

Limits

  • Depends on each lead source offering a notification or integration.
  • Classification can be wrong; the assigned person can reassign in one step.
02
Documents

Document intake and data extraction

Read the workflow

Incoming documents read, key fields extracted and checked, and only clean data passed on; anything uncertain goes to a person.

Who it's for

  • A business that receives invoices, order forms, intake forms or applications as PDFs or scans.
  • A team that retypes the same fields into accounting or operations tools.

The problem

Documents arrive by email or upload in many layouts. Someone opens each one, finds the right fields and types them into another system. It is slow and easy to get wrong.

Starts when

A document lands in a shared inbox, an upload form or a watched folder.

Steps

  1. 01Trigger

    A document arrives

  2. 02Automation

    Store the original

Save it to document storage and record where it came from.

  3. 03AI

    Extract the fields

Pull out the agreed fields, such as supplier, date, amounts and references, with a confidence level for each.

  4. 04Automation

    Check against rules

Required fields present, totals add up, the supplier or customer exists, no duplicate reference.

  5. 05Person

    Review what is uncertain

Low-confidence fields and rule failures go to a review queue that shows the document beside the fields.

  6. 06Automation

    Create a draft record

Approved data becomes a draft in the target system, for example a draft bill.

  7. 07System

    Log the run

With a link to the original document.

Tools

  • Email
  • Upload forms
  • Document storage
  • Accounting or operations system
  • Workflow automation platform
  • AI model provider

Where people stay in charge

  • A review queue for low-confidence fields and rule failures.
  • Records are created as drafts; a person approves payments and final postings.

Data and privacy

  • Documents stay in the business's own storage; the AI step receives only the document being processed.
  • Provider settings that opt out of model training are used where they are offered.
  • Documents with regulated data, such as health records, financial account numbers or children's data, need a specific review before anything is automated.

Designed to

  • Reduce retyping from documents into business systems.
  • Catch missing or inconsistent fields before they reach the books.

Limits

  • Handwritten pages or poor scans may always need a person.
  • Nothing is paid or posted automatically.
03
CRM & email

CRM updates and follow-up drafts

Read the workflow

Routine pipeline admin handled when deals move or go quiet, with follow-up emails drafted for approval.

Who it's for

  • A business that tracks deals or projects in a CRM but finds records go stale.
  • A sales or account team that forgets follow-ups in busy weeks.

The problem

After calls and proposals, records need updating, tasks need creating and follow-ups need writing. When the week gets busy, deals go quiet without anyone noticing.

Starts when

A deal changes stage, or has had no activity for a set number of days.

Steps

  1. 01Trigger

A deal moves or goes quiet

  2. 02Automation

    Gather the context

Recent activity, notes and next steps from the CRM.

  3. 03Automation

    Create the standard tasks

Tasks for the new stage, and field updates by rule.

  4. 04AI

    Draft a follow-up

An email in the business's tone, based on the notes, for the deal owner.

  5. 05Person

    Edit and send, or dismiss

    The deal owner decides.

  6. 06System

    Log the action

Quiet deals also appear in a weekly list for the manager.

Tools

  • CRM
  • Email
  • Calendar
  • Workflow automation platform
  • AI model provider

Where people stay in charge

  • Nothing AI-written is sent automatically.
  • Stage changes are made by people; the automation reacts to them.

Data and privacy

  • Drafting uses only the deal's own notes and history.
  • Contacts who have opted out of email are excluded by rule.

Designed to

  • Keep CRM records current without extra typing.
  • Make sure quiet deals get a timely, personal follow-up.

Limits

  • Drafts are only as good as the notes in the CRM.
  • Not a bulk-email or cold-outreach tool.
04
Knowledge

Internal knowledge assistant

Read the workflow

A staff-only assistant that answers questions from the business's own documents, shows its sources and says when it doesn't know.

Who it's for

  • A business with policies, procedures, product details or past proposals spread across shared drives.
  • A team where the same questions go to the same few people.

The problem

The answer usually exists somewhere, but finding it takes time, so people ask a colleague. New staff take longer to get up to speed.

Starts when

A staff member asks a question in team chat or on an internal page.

Steps

  1. 01Trigger

    A question is asked

  2. 02Automation

    Check access

Who is asking, and which document collections they may see.

  3. 03System

    Search the approved collections

    Find the most relevant passages.

  4. 04AI

    Answer with sources

A short answer from those passages only, with a link to each source.

  5. 05AI

    Say when it doesn't know

If the sources don't cover the question, it says so instead of guessing.

  6. 06Person

    Fill the gaps

Unanswered questions are logged for the document owner.

Tools

  • Document storage
  • Team chat or intranet
  • Search index
  • AI model provider

Where people stay in charge

  • Document owners decide which collections are included.
  • Gaps are reviewed by a person, who updates the source documents.

Data and privacy

  • Staff-only; access follows existing document permissions.
  • Not connected to customer-facing channels in this example.
  • Sensitive collections such as HR, legal and finance are left out unless the business decides otherwise.

Designed to

  • Help staff find the right policy or answer quickly, with the source to check.
  • Show which questions the documentation doesn't answer yet.

Limits

  • Answers reflect the documents; out-of-date documents give out-of-date answers.
  • Not for legal, medical or financial advice.
05
Reporting

Weekly reporting digest

Read the workflow

The week's figures pulled from several tools into one summary that a manager reviews before it is shared.

Who it's for

  • An owner or manager who copies figures from several tools into a spreadsheet each week.
  • A team that wants the same short update every Monday.

The problem

The figures live in different tools. Pulling them together takes time, so the update is late, inconsistent or skipped.

Starts when

A schedule, for example Monday morning.

Steps

  1. 01Trigger

    The scheduled time arrives

  2. 02Automation

    Pull the agreed figures

From each connected tool, for example sales, inquiries, open jobs and invoices due.

  3. 03Automation

    Calculate the changes

    Week-on-week changes, using fixed formulas.

  4. 04AI

    Write a plain-English summary

    Using only the calculated figures.

  5. 05Person

    Review and edit

    The manager reviews the draft.

  6. 06Automation

    Share and archive

The approved summary goes to email or team chat; a copy is archived.

Tools

  • CRM
  • Accounting
  • E-commerce or booking system
  • Spreadsheet
  • Team chat or email
  • Workflow automation platform
  • AI model provider

Where people stay in charge

  • Figures are calculated by formulas, not by the AI.
  • A person approves the summary before anyone else sees it.

Data and privacy

  • Only aggregate figures reach the AI step; no customer-level data.

Designed to

  • Produce a consistent weekly update without manual copying.
  • Make changes easy to spot and question.

Limits

  • Only as accurate as the source tools.
  • Not financial reporting or advice.

Before and after

Lead intake

Lead intake, before and after.

Typical manual process

  1. 1.Check several inboxes
  2. 2.Copy details into the CRM
  3. 3.Decide who handles it
  4. 4.Write a reply from scratch

With this workflow

  1. 1.The inquiry appears in the CRM already sorted and assigned
  2. 2.A person reviews a draft reply and sends it

How we keep people in charge

The repeatable steps run on their own; people stay in charge of decisions.

  1. ( 001 )

    People approve what matters.

Messages to customers, payments and the record changes you choose go through a person.

  2. ( 002 )

    Your accounts, your data.

Workflows run on your accounts and keys, and you keep them when we're done.

  3. ( 003 )

Only the data the task needs.

We limit what each step can see and keep personal data out of logs where we can.

  4. ( 004 )

    AI provider settings checked.

Where a provider lets business customers opt out of model training, we set it up that way and tell you which providers do.

  5. ( 005 )

    Every run is logged.

You can see what happened, when, and why.

  6. ( 006 )

    A manual fallback.

If a tool is down or a result looks wrong, the work goes back to a person.

How to bring us a workflow

  1. 1. Tell us the task

What it is, who does it and which tools it touches.

  2. 2. We map it with you

One session with the people who do it today.

  3. 3. We pilot one workflow

On a small slice of real work, with every output checked.

  4. 4. You decide what runs

Nothing goes live without your sign-off.
